This summary is for convenience; the full policy below applies.

1. Booking Requests and Confirmation

  • All bookings are subject to availability and written confirmation by Walking Explorer African Vacations Ltd.
  • Submitting an enquiry or receiving a quotation does not, by itself, guarantee a reservation. A booking will be confirmed in writing once the agreed deposit or payment has been received and the company has accepted the booking.
  • Confirmation of a tour package does not necessarily mean that every third-party service or special permit has been secured. Where permits, accommodation or other services remain pending, their status will be communicated clearly to the client.

2. Deposits and Balance Payments

  • For bookings where the standard deposit arrangement applies, a deposit of 20% of the quoted tour package price is required to proceed with the booking.
  • The remaining balance is payable no later than seven (7) calendar days before the scheduled departure date, unless an earlier deadline is stated in the quotation and agreed upon by the client.
  • Bookings made within seven days of departure may require full payment at confirmation.
  • The applicable payment schedule will be stated in the quotation or booking confirmation. Different payment arrangements may apply where required by a permit-issuing authority, accommodation provider, transport supplier or other service provider.

3. Gorilla, Chimpanzee and Other Special Permits

  • Special permits are subject to the availability, payment procedures, cancellation rules and refund conditions of the authority issuing them.
  • The standard 20% tour deposit does not guarantee that a gorilla or chimpanzee permit has been secured.
  • Where a permit requires earlier or full payment, the client will be informed of the permit cost, applicable payment deadline and relevant conditions before being asked to make that payment.
  • A permit will only be described as confirmed once its purchase or reservation has been verified through the relevant authority's procedures.
  • Permit payments, refunds and rescheduling requests will be handled in accordance with the issuing authority's applicable rules. Any refund will depend on the authority's decision and the amount actually approved or recovered.

4. Cancellation by the Client

  • Cancellation requests must be submitted in writing through our official contact channels. The date the written request is received will be used to determine the applicable cancellation period.
  • The cancellation charges applicable to the booking will be those disclosed in the quotation or booking terms accepted by the client.
  • Where cancellation results in costs already committed to accommodation, transport, permits or other suppliers, any amount charged to the client must be consistent with the agreed terms, the applicable supplier conditions and the law.
  • Any refund calculation will take account of amounts recoverable from suppliers and will avoid charging the client twice for the same cost.
  • The applicable cancellation charges and refund conditions will be communicated before the booking is confirmed.

5. Changes and Rescheduling

  • Requests to change travel dates, accommodation or itinerary arrangements are subject to availability and supplier conditions.
  • Changes may involve additional costs, including differences in accommodation rates, transport costs, administrative charges or permit fees. Any additional amount will be explained before the change is accepted.
  • Permit rescheduling is subject to the issuing authority's applicable rules and approval. A change request does not guarantee that a permit or other service can be transferred to another date.

6. Cancellation or Failure to Provide Services by the Company

  • If Walking Explorer African Vacations Ltd cancels a confirmed trip or cannot provide a service included in the agreed package, the company will notify the client and explain the available alternatives and applicable refund arrangements.
  • Any refund, replacement service or compensation will be handled in accordance with the agreed booking terms and applicable law.
  • The company will not describe a refund as guaranteed where it depends on a third party's decision, but will explain the status of the request and any amount recovered.

7. Refunds

  • Approved refunds will be processed through the original payment method where reasonably possible.
  • The amount and timing of a refund may depend on the payment provider, bank or third-party supplier. Any applicable deduction must have a valid basis in the agreed terms and applicable law.
  • Where a refund is pending approval from a permit authority or supplier, the client will be informed that the refund has not yet been confirmed.

8. Booking Documentation

  • The quotation and booking confirmation will identify the agreed itinerary, package price, included and excluded services, payment deadlines and applicable cancellation conditions.
  • Any special permit conditions, supplier-specific requirements or additional compulsory charges will be disclosed before the client agrees to the booking.
  • By proceeding with a booking, the client acknowledges the terms communicated and accepted for that particular trip.
